Reporting Relationship: Events Manager
Key Responsibilities: Execute all administrative tasks associated with the event programme and business plan to ensure achievements of annual budget.

In joining our award-winning events team, you'll help us deliver the best networking opportunities in Scotland. We require a skilled administrator to support the preparation and presentation of up to 60 events a year. With a strong commitment to customer service, you'll be responsible as part of a team for planning, organising and supporting the delivery of our events programme. Strong communication skills are essential, as is efficiency, flexibility and the ability to manage tasks to meet deadlines.
Key Tasks:
- Accurately record and process all ECC events bookings/ payments/ invoices/ amendments/processing payments and passing payment details/cheques to the Accounts department for banking purposes.
- Produce event material, badges, handouts on time
- Attend and assist in the set up for each event and "man" the registration desk
- Prepare the Event Box for each event to include all required materials and equipment.
- Respond to all Event enquires via telephone and e-mail
- Execute weekly credit control in respect of outstanding event invoices
- Produce on-line evaluation forms for each event
- Prepare weekly stationery order and ensure sufficient stocks of gifts and ancillary items.
- When required, attend events and support the promotion of events and membership to the business community
- Assist in any marketing of events to attain highest possible number of attendees
- Other tasks as required by Events Manager
Essential Qualifications/Skills/Knowledge:
- Excellent working knowledge of standard IT packages - particularly Access Database
- Experience in administration with a strong focus on customer care
- First class communication skills - both oral and written
- Strong interpersonal skills with the ability to communicate to a diverse customer base
- Excellent organisational skills
- A great degree of flexibility, ability to juggle various tasks and work to tight deadlines
- Team work is essential along with the ability to use initiative in a fast moving environment
- Attention to detail is important especially when dealing with bookings and financial reports.
Desirable Qualifications/skills/knowledge:
- A business related degree
- Experience in Events Administration
Terms and Conditions
Whilst Office hours between Monday to Friday are 9.00am to 5.00pm this position requires ongoing regular flexibility both to accommodate workload and early morning and evening events.
Salary (Circa £15- £17k)
Holiday entitlement will be 25 days plus statutory holidays, which can be taken as personal holidays. The holiday year runs from 1 January. This will be pro rata to the number of hours worked.
Edinburgh Chamber of Commerce operates a Group Personal Pension Scheme provided by Standard Life; you will be able to join the scheme after completing a three-month period. The Chamber will contribute a certain percentage of salary depending on a salary grading structure (normally 6%). The Chamber of Commerce also operates a Death in Service Scheme.
